1. About these Terms
1.1 These Terms & Conditions (“Terms”) apply to all services provided by The Calm Barn, including group and one-to-one yoga, sound baths, Reiki and other wellbeing sessions offered by The Calm Barn (“Sessions”).
1.2 By making a booking, attending a Session or otherwise using our services, you agree to these Terms.
1.3 Please read these Terms carefully before booking. If you have any questions about them or whether a particular Session is suitable for you, please contact The Calm Barn before booking.
1.4 These Terms apply alongside our Privacy Notice, which explains how we collect, use, store and protect personal information, including health and wellbeing information provided when making a booking.
2. Booking and Payment
2.1 Bookings can be made through our website at www.thecalmbarn.co.uk, using our online booking system.
2.2 Bookings are managed through our booking and scheduling provider, Acuity Scheduling, and payments are processed through Stripe. By making a booking, you acknowledge that these third-party providers may process information necessary to administer your booking and payment.
2.3 Payment is required at the time of booking unless we have agreed otherwise with you in advance.
2.4 Prices are displayed at the time of booking and are subject to change. Any change in price will not affect a booking that has already been confirmed and paid for.
2.5 Your booking is confirmed once payment has been successfully received and you have received a booking confirmation.
2.6 You are responsible for providing accurate contact and booking information and for checking your booking details, including the date, time and type of Session.
3. Cancellation, Rescheduling and Refunds
3.1 If you need to cancel or reschedule a booking, please contact The Calm Barn as soon as possible.
3.2 For Sessions where a specific date and time has been booked, cancellations or requests to reschedule made at least 48 hours before the scheduled start time will normally be eligible for a full refund or rescheduling, subject to availability.
3.3 Cancellations made less than 48 hours before the Session, and failure to attend (“no-shows”), will normally not be eligible for a refund or rescheduling.
3.4 Where you are unable to attend because of illness or unforeseen circumstances, please contact us as soon as possible. We may, at our discretion, offer an alternative date or credit, taking the circumstances into account.
3.5 Nothing in these Terms affects any statutory rights you may have under applicable consumer law.
3.6 Where The Calm Barn has to cancel or substantially change a Session for reasons within our control, we will offer an alternative date or a refund, as appropriate.
3.7 Where a Session cannot take place because of circumstances outside our reasonable control—for example, serious illness, extreme weather, loss of access to the venue, or other circumstances beyond our reasonable control—we will communicate with you as soon as reasonably practicable and, where appropriate, offer an alternative date or refund.
4. Health, Wellbeing and Suitability
4.1 The Sessions offered by The Calm Barn are intended to support relaxation, wellbeing and personal practice. They are not medical treatment, medical advice, psychotherapy or a substitute for professional medical care.
4.2 You are responsible for deciding whether a Session is suitable for you. If you have a medical condition, injury, disability, pregnancy, recent surgery, mental health condition, or any other health concern that may affect your ability to participate safely, you should seek appropriate professional advice before participating where necessary.
4.3 Some Sessions may involve physical movement, stretching, lying or sitting in particular positions, breathwork, sound, vibration, touch or periods of stillness and relaxation. The nature of each Session will vary.
4.4 Reiki and sound baths are complementary wellbeing practices and are not intended to diagnose, treat or cure medical conditions.
4.5 You must tell The Calm Barn before a Session about any relevant health, mobility, sensory or other wellbeing information that may affect your safety, comfort or ability to participate.
4.6 You should also tell the practitioner if your circumstances change between making your booking and attending the Session.
4.7 If you become unwell, uncomfortable or unable to participate safely during a Session, you should tell the practitioner immediately.
4.8 The Calm Barn reserves the right to modify an activity, recommend that you do not participate in a particular part of a Session, or ask you to stop participating where we reasonably believe this is necessary for your safety or the safety of others.
4.9 Providing health information does not mean that The Calm Barn is able to assess or diagnose your medical condition. You remain responsible for providing accurate and relevant information and for following appropriate medical advice.
5. Health and Wellbeing Information
5.1 We may ask for information about your health, wellbeing, mobility, injuries, pregnancy, allergies, accessibility requirements or other relevant circumstances where this information is reasonably necessary to help us provide Sessions safely and comfortably.
5.2 Some of the information collected may constitute health data or other special category personal data under UK data protection law.
5.3 We will only collect information that is relevant and necessary for the purposes explained to you, and will handle it in accordance with applicable data protection law and our Privacy Notice.
5.4 Where explicit consent is required for the processing of health or other special category information, we will obtain that consent separately and clearly.
5.5 Health and wellbeing information will not be used for unrelated purposes or shared with third parties except where permitted or required by law, or where you have otherwise given appropriate permission.

6. Participation and Personal Responsibility
6.1 You participate in Sessions voluntarily and are responsible for listening to your body and working within your own capabilities.
6.2 You must follow reasonable instructions given by the practitioner or instructor during the Session.
6.3 You must use any mats, blankets, bolsters, cushions, sound equipment or other equipment provided by The Calm Barn appropriately and safely.
6.4 You must behave respectfully towards practitioners, staff and other participants.
6.5 The Calm Barn may refuse or end participation where a person's behaviour is disruptive, threatening, abusive or creates a safety concern for themselves, the practitioner or other participants.
6.6 You should not attend a Session if you are suffering from an illness or contagious condition that could reasonably put other participants or staff at risk.
7. Yoga & Movement Sessions
7.1 Yoga involves physical movement and may carry a risk of injury if exercises are performed beyond an individual's capabilities.
7.2 You should work at a level appropriate to your own body and abilities and should not attempt a movement that causes pain or discomfort.
7.3 The practitioner may offer modifications or alternatives. You remain responsible for choosing whether to undertake an exercise or modification.
7.4 If you are pregnant, have recently given birth, have an injury, medical condition or other circumstance that may affect your practice, please inform the practitioner before participating.
8. Sound Experiences
8.1 Sound baths involve the use of sound, music and/or vibration and may involve lying or sitting quietly for periods of time.
8.2 People can respond differently to sound and vibration. If you experience discomfort, dizziness, anxiety, distress or any other unwanted response, you should tell the practitioner and may leave or stop participating.
8.3 If you have a condition or sensitivity that may be affected by sound, vibration or prolonged periods of lying or sitting, you should seek appropriate professional advice before participating where necessary.
9. Reiki Treatments
9.1 Reiki is offered by The Calm Barn as a complementary wellbeing and relaxation practice.
9.2 Reiki is not a medical treatment and should not be relied upon as a substitute for medical diagnosis, treatment or advice.
9.3 Where a Reiki Session involves physical touch, this will be explained or agreed with you. You may request that the practitioner does not use touch at any time.
10. One-to-One Sessions
10.1 One-to-one Sessions are provided for the individual named on the booking unless otherwise agreed in advance.
10.2 The practitioner may adapt a Session to take account of information you have provided about your needs, preferences and circumstances.
10.3 Any adaptations are intended to support participation and comfort and do not constitute medical assessment or treatment.
11. Children and Young People
11.1 Unless specifically stated otherwise, Sessions are intended for adults aged 18 or over.
11.2 Where The Calm Barn offers a Session to anyone under 18, the relevant parent or legal guardian must provide any required consent and remain responsible for ensuring that the Session is suitable for the young person.
12. Liability
12.1 We take reasonable care to provide Sessions in a safe and professional manner.
12.2 You acknowledge that participation in physical or wellbeing activities carries some inherent risks, including the possibility of physical discomfort or injury.
12.3 Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.
12.4 Subject to clause 12.3, The Calm Barn will not be responsible for loss or damage arising from your failure to follow reasonable instructions, your failure to disclose relevant information that you knew or ought reasonably to have known was relevant to safe participation, or your use of equipment contrary to instructions.
12.5 Nothing in these Terms requires you to accept responsibility for risks caused by The Calm Barn's negligence or breach of its legal obligations.
13. Complaints and Concerns
13.1 We want everyone attending The Calm Barn to feel safe, respected and comfortable.
13.2 If you have a concern about a Session or the service you have received, please contact Jo at The Calm Barn as soon as reasonably possible so that we can try to resolve the matter.

14. Changes to Sessions and These Terms
14.1 We may occasionally need to change a Session, instructor, location or timetable. Where reasonably possible, we will provide advance notice of significant changes.
14.2 We may update these Terms from time to time to reflect changes to our services, booking arrangements or legal requirements.
14.3 The latest version of these Terms will be published on our website. Changes will not retrospectively alter rights relating to a booking that has already been completed.
15. Privacy and Third-Party Services
15.1 Our website is operated using Squarespace and bookings are managed using Acuity Scheduling. Payments are processed using Stripe.
15.2 These providers may process personal information on our behalf or as independent controllers, depending on the service and processing involved.
15.3 Information about how personal data is collected, used, stored and shared—including information relating to bookings, payments and health and wellbeing—is set out in our Privacy Notice.
15.4 By using our website and booking Sessions, you should also review the relevant terms and privacy information provided by these third-party services where applicable.
16. Governing Law
16.1 These Terms are governed by the law of England and Wales.
16.2 If you are a consumer, you will benefit from any mandatory protections provided to you by the law applicable to your circumstances. Nothing in these Terms affects those rights.
